How to stay on task with good time management
Effectively managing time is an ability that everyone can learn. In order to do this, however, it's necessary to make some changes in your daily habits. Yet it's one thing to understand this in theory.
It's something else to actually make the necessary changes. Makes changes takes time, so don't expect to transform yourself in an instant. You need to have patience and understand that you will probably make some mistakes. Still, you can make the whole process a little simpler if you follow some well tested guidelines.
You will first want to figure out what you are doing now. For a few days, don't change anything. Simply write down what you are doing (even the procrastination moments) and for how long you do it. If you spend 20 minutes getting morning coffee, write it down. Map out your whole week. This will show you where you are starting and how you are most likely to waste time. Now you can begin to see what you should change and how to make those changes work. Learn how to say no. Not saying "no" often enough may play a large part in why you have problems with time management. How can you complete your own work if you are constantly doing things for everyone else? Unless you actually have time to spare, don't be afraid to tell people that you just can't help them out today. This doesn't mean you should say no to everything. Your own work has to come first, though, and you aren't obligated to put this on the back burner for others.
Remember, you want to work as efficiently as possible, but you also want to do things properly. As much as you may want to finish a task, never let this take priority over quality.
Even if it takes a little longer, make sure you do the job as well as you can. That said, be realistic about the amount of work something will take when you plot it in your schedule. If something is important, schedule a little more time than you estimate you'll need for this task. You are better off having too much time than too little for important tasks.
Learning time management might seem a bit overwhelming at first. Your schedule will help you stay on task and focused on the days agenda. Before too long you could be as good or better than the most organized person in your office. Setting goals for yourself is a good idea. Just keep it simple. There is something to be said for spontaneity, don't over manage your life leave some time for fun. It is important to remember that your body and your mind both need to relax from time to time!
